1.2 Email Data

With your explicit permission, we access and process:

  • Email messages from your connected Gmail account
  • Email metadata (sender, recipient, subject, timestamps)
  • Email content for lead analysis and scoring

We only access emails needed for lead scoring and CRM functionality. Your email data is processed securely and encrypted in transit and at rest.

1.3 Lead and Contact Information

We collect and store:

  • Lead names and email addresses extracted from your emails
  • Lead scores, classifications, and analysis results
  • Conversation history and message threads
  • Pipeline value estimates and property preferences (when available)

1.4 Usage Data

We automatically collect:

  • Log data (IP address, browser type, access times)
  • Feature usage and interaction data
  • Error reports and performance metrics

2. How We Use Your Information

We use the information we collect to:

  • Provide our services: Analyze emails, score leads, generate insights, and deliver CRM functionality
  • Improve our platform: Enhance AI accuracy, optimize features, and develop new capabilities
  • Communicate with you: Send service updates, respond to support requests, and provide account notifications
  • Ensure security: Detect fraud, prevent abuse, and protect user accounts
  • Comply with legal obligations: Meet regulatory requirements and respond to legal requests

3. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share your information only in the following circumstances:

3.1 Service Providers

We work with trusted third-party service providers who assist in operating our platform:

  • Supabase: Database and authentication services
  • OpenAI: AI analysis and lead scoring (your email content is sent securely for processing)
  • Google: Gmail API integration (with your explicit authorization)

These providers are contractually obligated to protect your data and use it solely for the purposes we specify.

3.2 Legal Requirements

We may disclose your information if required by law, court order, or government regulation, or to protect our rights, property, or safety.

3.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

4. Data Security

We implement industry-standard security measures to protect your information:

  • Encryption in transit (TLS/SSL) and at rest
  • Secure authentication and access controls

5.2 Data Deletion

You can request deletion of your account and associated data by contacting us at privacy@closelogic.com. We will delete your data within 30 days, subject to legal retention requirements.

5.3 Gmail Disconnection

You can disconnect your Gmail account at any time through your dashboard settings. This will stop new email processing, but historical data will remain unless you request deletion.

5.4 Opt-Out

You can opt out of marketing communications by clicking "unsubscribe" in any marketing email or updating your preferences in your account settings.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide our services. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes.

7. Children's Privacy

CloseLogic is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

8. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure that appropriate safeguards are in place to protect your data in accordance with this Privacy Policy.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of CloseLogic after such changes constitutes acceptance of the updated policy.
